Member Mapping Submission Form

This form is required and must be filled out completely with all mapping submissions. The information requested is vital in processing your submission correctly. If the form is not complete it will be returned for more information.

A member code is an arbitrary set of characters used to identify specific assets. The code could be combined with letters and numbers and may be 3-10 characters long. (i.e. A4B)

If your update includes both adds & deletes, please submit a full replacement file to ensure data is properly updated.

Please note: If you request deletions, you must also include a reason for those deletions below. If you do not indicate a reason, GIS Staff can not process the deletion and will need to merge the mapping with the current service area in place (i.e., the submission will be an addition).

Adds - Adds should be applied when you only want to add new coverage to your 811 service areas. The mapping file may include individual additions or the entire code’s coverage area. GIS staff will not delete data from your code’s current coverage.

Deletes - Deletes should be applied when you only want to delete coverage from your 811 service areas. The mapping file you submit should include only those areas that you want to remove. If you need to remove an entire service area, please note "full code delete" under the additional information.

Full Replacement - For a Full Replacement, please submit a  mapping file representing the entire area for which you want asset protection. Essentially you are swapping out what is currently registered and replacing it with this new file you have provided. A Full Replacement requires you to indicate a reason for deletions on the Member Mapping Submission Form, so if you do NOT intend to delete any coverage areas, please request Adds instead.

**Note: It is the responsibility of the seller and purchasing company to coordinate the transfer/re-submittal of their own assets in a timely manner to ensure continual coverage so that no assets are left unprotected.

Each side of the centerline. If shape file is not buffered, and one is not provided, a 300 ft. buffer on each side (totaling 600 ft.) will be applied.
We prefer all shape files to be buffered and in Lat/Long WGS 84 projection. Projection must be included for CAD file.

Helpful Hints:

  • Please allow a 1-week turnaround for submissions to be completed. Live dates are every Tuesday and Friday. Live dates are determined by the complexity and/or volume of updates.
  • Confirmation emails will be sent notifying you of your live date, it is your responsibility to review file attachments immediately to ensure accuracy of update(s).
  • Formats accepted are: Esri shape files (preferred), Esri file geodatabase, lat/long coordinates, tab files, Google My Maps and .kml/.kmz files (you can easily get .kml/.kmz files using Google Earth).
  • The code assigned to the database is the code that will identify that particular coverage area. (A new form is required and must be completed for each code. New members will be assigned a code upon registration completion.)
  • Please note that customized solutions requires the submission of additional files. Please reach out to Solutions@Texas811.org if you are unsure of what to submit.
